One list for your Shopee, TikTok Shop and WhatsApp orders

Orders from three places are easy to lose. Keep one list that shows who ordered, what, how much, where from, and whether it is paid and sent.

If you sell on Shopee, on TikTok Shop and through WhatsApp, your orders live in three places. Each platform has its own list, and the WhatsApp ones live in chats that scroll away. On a quiet week that is fine. On a busy week, someone's order gets forgotten.

Where orders go missing

The usual trouble is not the platform orders. Those sit in the seller pages of each app, and the apps remind you to ship them. The orders that go missing are the ones that start in a chat: a customer messages you, you agree on the items, and then you are busy. Two days later you scroll back and cannot find who ordered what.

A second trouble is the money. A customer says they transferred, you mean to check, and the question "did they pay?" has no single place to be answered.

One list, kept simple

You do not need a big system. A list that answers four questions is enough:

  • Who ordered?
  • What did they order, and for how much?
  • Where did the order come from: Shopee, TikTok Shop, WhatsApp or somewhere else?
  • Is it paid, and is it sent?

When every order goes into the same list, you can see at a glance what still needs doing. The ones that are not paid are one group. The ones that are paid but not sent are another. That second group is the one to clear first, because those customers are already waiting.

Add the order when it happens

The list only works if orders go in when they arrive, not at the end of the day. Adding an order should take a few taps. A good habit is to add it the moment you agree it, while the chat is still open. For platform orders, add them when you pack them.

If you wait until the evening, you will remember the big orders and forget the small ones, and the small ones add up.

A spreadsheet or an app

Many sellers start with a notebook, then a spreadsheet. A notebook cannot add up the month. A spreadsheet can, but typing into one on a phone is slow, and it is easy to break a formula by accident.

We made Rekod for this. It is a free order app that keeps this one list on your phone. You add an order in a few taps, tick it off when it is paid and when it is sent, and open WhatsApp with the order written out, ready to send to the customer. It works in Malay and English, and it works without internet after the first time you open it.

Rekod keeps your orders on your own phone. They are not sent to us. That also means you should save a copy to a file now and then, so a lost phone does not take your orders with it. Rekod reminds you.

What it does not do

Rekod does not connect to Shopee or TikTok Shop, and it does not work out platform fees or tax for you. It is a list of your orders, kept tidy. Check each platform's own pages for its current fees and rules.

Where to start

Take today's orders from all three places and put them into one list. It takes a few minutes the first time, and from tomorrow you only add the new ones.

Every order, on your phone.

Rekod keeps your orders in one list: who ordered, what, how much, and whether it is paid and sent. Free, in Malay and English, and it works without internet.
